Request for Proposal (RFP)\ Cemetery Mowing Services

Roseland Cemetery\ Sanborn, Iowa


1. Introduction

Roseland Cemetery is seeking proposals from qualified contractors to provide mowing services for the cemetery grounds. The purpose of this RFP is to solicit proposals for professional mowing and maintenance services that will ensure a well-kept, respectful, and aesthetically pleasing environment for visitors and staff.

2. Scope of Work

The contractor selected for this project will be required to perform the following services:

  • Mowing: Mowing the grass on all cemetery grounds, including lawns, walkways, and roadways.
  • Trimming: Trimming along the edges of walkways, headstones, fences, and other structure. Trimming frequency to be determined by City staff.
  • Debris Removal: Clearing of debris branches, stick and debris after each mowing.
  • Frequency: Mowing will be required No more than once a week during the growing season, typically starting time is May to October.

3. Proposal Requirements

All proposals must include the following:

  1. Company Overview: A brief description of the company including equipment, including qualifications and experience in cemetery maintenance or similar services.
  2. Pricing: A breakdown of pricing for mowing services, one bid for mowing per time and a bid for trimming per time.
  3. Timeline: An estimated schedule of when services will be completed each week/month and the expected timeline for the full term of the agreement.
  4. Insurance: Proof of appropriate insurance coverage, including liability and worker’s compensation.

4. Proposal Submission Instructions

Proposals must be submitted by email [email protected] or dropped of at City Hall no later than April 10th at 5:00 p.m.

Late submissions will not be considered.

5. Evaluation Criteria

Proposals will be evaluated based on the following criteria:

  • Experience and Qualifications: Proven experience in cemetery or grounds maintenance services.
  • Quality of Services: Ability to meet the specified scope of work and proposed service levels.
  • Insurance and Liability: Proof of appropriate insurance coverage.

6. Terms and Conditions

  • The term of the contract will be for 2025 mowing season, with the option for renewal based on performance.
  • Payment terms invoices must be to city hall by the first Friday of the month.
  • The contractor must comply with all applicable laws, regulations, and safety protocols.
  • The City reserves the right to cancel or modify the contract if the selected contractor fails to meet expectations.
  • The City reserves the right to refuse any and all bids for work performed.
